Credit paid invoices to avoid double-billing, keep your connected tools in sync as key details change, share resources across multiple teams, and new options for reporting, exporting and managing invoice templates.

Allocate Resources to Individual Event Dates

For multi-day bookings, you can now allocate resources to each individual date rather than only to the event as a whole — ideal when different days need different spaces, staff or equipment. A date’s resources are shown as labels on the event’s dates table and in the diary, so it’s clear at a glance exactly what’s needed on each day. Date-level and event-level resources work together, and any resources you’ve assigned carry across when you duplicate an event.

Avoid Double-Billing When Invoicing from Costs

If you invoice a client in two stages — an upfront deposit and then a final invoice built from your costs — you can now credit the invoices you’ve already been paid, so the client isn’t charged twice for the same event. Simply tick the previously paid invoices you want to credit, and a matching credit note is raised for each and applied to the new invoice, leaving the client to pay only the outstanding balance. VAT is reversed exactly, even when items sit across different tax rates, and a clear summary of the credits is shown before you send so you can check everything is right first.

Keep Your Other Tools in Sync Automatically

EventWorks can now tell your other systems as things change — a new booking, an updated invoice, a new contact and more — instead of them having to check for updates on a schedule. Your connected tools are notified for the everyday changes your team makes in EventWorks, so information stays consistent across everything you use, without anyone re-keying it. You choose exactly which changes to be notified about, keeping each connection focused on what matters to you. This opens up richer, more responsive integrations between EventWorks and the rest of your toolkit.

Share Resources Across Multiple Teams

Resources can now belong to more than one team. When a space, member of staff or piece of equipment is shared between teams, you can link it to each of them rather than creating duplicates — so it appears wherever it’s needed and your team-based filtering stays accurate. Your existing resources keep their current team, so nothing changes until you choose to share them more widely.

Keep Package Prices in Step with Resource Prices

A new setting keeps your package and quote template prices up to date automatically. When you change a resource’s price, any packages and quote templates that use it update to match — so your packages stay reliable as a live pricing reference without rebuilding them by hand. Quotes and confirmed events keep the prices you’ve already agreed, so nothing already booked is affected.

Finer Control Over Who Can Manage Events

New settings give you tighter control over who can manage events. You can now require specific permissions to create, edit and delete events — making it possible to set up genuinely view-only users — and restrict confirming events to managers only. You can also require a reason to be recorded whenever an event is marked as lost, so your pipeline reporting stays accurate and consistent.

Other Improvements

  • Reconnect Xero without the wait — If your Xero connection stops working, you can now refresh it yourself from the integrations settings with a single button, rather than waiting for the overnight reconnection — so your accounting sync gets back up and running straight away.
  • Event industry type on the Status Change report — The Status Change report can now include the event’s own industry type as an optional column, alongside the existing account industry type.
  • See resources on the Events by Status report — You can now add an optional Resources column to the Events by Status report, showing the resources linked to each event — spaces, staff and equipment — alongside your other columns.
  • Choose your events export format — When you export your events, you can now pick between CSV and Excel. The Excel option keeps event names as clickable links, so you can jump straight to an event from your spreadsheet.
  • Choose your accounts and contacts export format — Your accounts and contacts exports now offer the same CSV or Excel choice as your events export, so you can pull each list into your other tools in whichever format they prefer.
  • Remove invoice templates you no longer need — You can now delete invoice templates from your settings. Any invoices or credit notes still using a deleted template simply fall back to your account-level logo and footer.
